Managing ZIP files and organizing case documents can sometimes seem tedious. But don’t worry, this guide will walk you through extracting files from a ZIP folder and saving them into ProLaw with ease. Whether you’ve received the ZIP folder via email or saved it to your desktop, follow these simple steps below!
Step 1: Check with IT Before Extracting Files
Before you extract any ZIP files to your computer or network folder, it’s a good idea to check with your IT department. Some organizations have policies restricting this action.
Step 2: Save the ZIP Folder Outside ProLaw
If your ZIP folder contains documents for a case, avoid saving the entire ZIP file into ProLaw. Instead:
Save the ZIP folder outside of ProLaw (e.g., on your desktop).
Extract the individual files.
Only upload the relevant documents to the appropriate case or matter in ProLaw.
This ensures your ProLaw system contains only what is necessary, keeping it well organized.
1. Open the Zip File
Open the email containing the ZIP folder.
Click the dropdown arrow next to the attached file and select Open.
If prompted with a security warning, click Open.
2. Start Extracting Files
Once the folder opens, click on the Extract/Compressed Folder Tools tab.
Select Extract All to start the extraction process.
3. Choose a Destination
When the Extract Compressed (Zipped) Folders window pops up, click Browse.
In the file destination window, select Desktop and click Select Folder.
4. Confirm and Extract
Confirm that the path displayed is directing the files to your Desktop.
Click the Extract button to extract the contents of the ZIP file to your Desktop.
5. Drag and Drop to ProLaw
Locate the extracted folder on your Desktop.
Open the folder and drag and drop the relevant documents into the appropriate case or matter in ProLaw.
If you’ve already saved the ZIP file to your desktop, the process is slightly different:
1. Open the ZIP File
Double-click the ZIP file on your Desktop to open it.
2. Start Extracting
Click the Extract/Compressed Folder Tools tab and select Extract All.
You’ll notice that the default file path points to your Desktop and creates a new folder with the name of your ZIP file. No need to change this.
3. Extract the Files
Ensure the Show extracted files when complete box is checked (it is checked by default).
Click Extract. Once the process is done, the folder containing your documents will automatically open.
If the box isn’t checked, simply locate the new folder on your desktop, double-click it to open, and access your files.
4. Upload Relevant Files
Open the newly created folder and drag and drop the required files into the relevant case or matter in ProLaw.
Only upload documents relevant to your case to keep ProLaw organized and efficient.
If you encounter any issues or errors while extracting files, contact your IT department or support for assistance.
This process might seem like one small step, but it’s key to keeping your document management clean, effective, and professional within ProLaw. Happy organizing!
